2. Information We Collect
2.1 Information you give us directly
We collect information you voluntarily provide when you submit Your Retirement Snapshot, submit our Contact form, email, call, or text us, meet with us in person or by video, or become a client and complete fact-finder forms. This information may include:
- Name, address, phone number, and email
- Age, marital status, and household composition
- Information about your employment, retirement timeline, and goals
- Information about your assets, income, debts, insurance coverage, and estate planning documents
- Information about your dependents or beneficiaries
- Health-related information relevant to insurance applications (for example, Medicare or life insurance underwriting)
- Any other information you choose to share with us
2.2 Information collected automatically
When you visit our Site, our hosting platform (GoHighLevel), Google Analytics 4, and similar tools may automatically collect IP address, approximate location, browser and device type, pages visited, time on site, referring website, and cookies and similar tracking technologies (see Section 6).
You can opt out of Google Analytics tracking using the Google Analytics Opt-Out Browser Add-on.
2.3 Information from third parties
In limited cases, we may receive information about you from insurance carriers, when verifying coverage or processing applications you have authorized; referral partners (such as accountants, attorneys, or existing clients) who refer you to us with your knowledge; or public records, when needed to verify identity or service a policy.
3. How We Use Your Information
We use your information to respond to your inquiries and schedule meetings; determine whether we are able to serve you (for example, confirming Wisconsin residency); prepare retirement, tax, insurance, and estate planning analyses; submit insurance applications to carriers on your behalf with your authorization; service your policies and accounts after you become a client; send you appointment reminders, confirmations, and follow-up communications; send you educational materials and updates about our practice (only if you have opted in); comply with legal, regulatory, and recordkeeping obligations; and detect and prevent fraud and protect the security of our Site.
We do not sell your personal information. We do not share your information with unaffiliated third parties for their marketing purposes.
4. How We Share Your Information
Your information is never sold to or shared with unaffiliated third parties for their marketing purposes.
4.1 At the Your Retirement Snapshot stage
When you submit Your Retirement Snapshot, your information is received and held only by Silver Maple Retirement Strategies LLC. We do not share your Snapshot information with any other organization, agent, or lead vendor at this stage. Your information stays with us until and unless you choose to begin a formal planning engagement with us.
4.2 When you begin a formal engagement
If, after meeting with us, you choose to begin a formal planning engagement, additional sharing may become necessary to deliver the services you have engaged us to provide:
- Investment advisory engagements — your information is shared with Gradient Advisors, LLC, an SEC Registered Investment Advisor, which serves as the advisory platform.
- Insurance applications — your information is shared with the relevant insurance carrier(s) for the purpose of processing your application. We may also share information with our affiliated organization, American Senior Benefits (ASB), for compliance review and supervision purposes.
- Estate planning engagements — your information is shared with Integrated Trust Systems (ITS), the platform through which estate planning documents are delivered.
In each case, sharing happens only after you have signed a separate engagement agreement that authorizes the sharing for the specific purpose described.
4.3 Service providers
We share information with vendors who help us operate our practice — including GoHighLevel (our website and CRM platform), Calendly (scheduling), Google Analytics 4 (analytics), and our email and communications providers. These vendors are contractually required to protect your information and use it only to provide services to us.
4.4 For legal and compliance reasons
We may share information when required by law, court order, regulatory request, or to protect our rights, property, or safety, or that of our clients or the public.
4.5 With your consent
We share your information for any other purpose only with your explicit consent or at your direction (for example, sharing a plan summary with your accountant).
4.6 CMS one-to-one consent rule
The Centers for Medicare & Medicaid Services (CMS) requires that, before a Third-Party Marketing Organization (TPMO) shares Medicare beneficiary data with another TPMO, the beneficiary must give prior express written consent that names the specific recipient. At the Snapshot stage, this rule does not currently affect you because we do not share your Snapshot information with any other TPMO. If our practices change, we will update our consent forms to comply with this rule and give you a clear opportunity to opt in or decline each named recipient.
5. Text Messages, Phone Calls, and TCPA Consent
5.1 Transactional contact (Contact form)
If you check the consent box on our Contact form, you consent to receive non-marketing text messages from Silver Maple Retirement Strategies regarding your inquiry — appointment scheduling, confirmations, and follow-ups related to that inquiry only.
5.2 Permission to discuss your Medicare options (Snapshot and similar lead-generation forms)
If you check the consent box on Your Retirement Snapshot, you grant permission for a licensed insurance agent affiliated with Silver Maple Retirement Strategies LLC to contact you by phone, text, or email regarding your Medicare options, including Medicare Supplement Insurance, Medicare Advantage, and Medicare Part D Prescription Drug Plans, as well as other retirement planning services.
This permission is event-specific and expires twelve (12) months from the date you provide it. It applies only to Silver Maple Retirement Strategies LLC and does not transfer to any unaffiliated third party.
5.3 Solicitation disclosure
This is a solicitation for insurance. By providing your phone number on any form on our Site, you may be contacted by a licensed insurance agent.
5.4 Common SMS terms
- Message frequency varies based on your interaction with us
- Message and data rates may apply
- Reply HELP for assistance
- Reply STOP at any time to opt out of further messages
- Consent to text messages is not a condition of receiving any service from us
5.5 Calls reach a licensed insurance agent
When you call any phone number listed on our Site, you will reach a licensed insurance agent.
Please note: We conduct our planning, sales, and enrollment conversations in person, not over the phone. Phone calls are used for scheduling, appointment confirmation, follow-up to a meeting, and general questions. If you have a sales or product-specific question, we will schedule an in-person meeting with you to discuss it properly.
6. Cookies and Tracking Technologies
Our Site uses cookies and similar technologies to keep the Site functioning properly, remember your preferences, and measure traffic and understand how visitors use the Site (through Google Analytics 4).
You can control cookies through your browser settings. To opt out of Google Analytics specifically, you can install the Google Analytics Opt-Out Browser Add-on.
6.5 Language Assistance and Auxiliary Aids
Language assistance services and auxiliary aids and services are available to you free of charge. If you need help understanding our Site, our forms, or any communication from us in a language other than English, or if you need accommodation for a disability, please contact us using the information in Section 14 and we will work with you to provide assistance.
7. How We Protect Your Information
We use reasonable administrative, technical, and physical safeguards to protect the information you provide to us — including encrypted transmission of data through our website (HTTPS), access controls limiting employee access to client information, secure storage through our CRM and document storage platforms, and ongoing training on data protection and compliance.
No method of transmission or storage is 100% secure. While we work to protect your information, we cannot guarantee absolute security.
8. How Long We Keep Your Information
We retain information for as long as needed to provide our services to you, comply with our legal, regulatory, and recordkeeping obligations, and resolve disputes and enforce our agreements. Specific retention periods include:
- Permission-to-Contact records and call recordings are retained in a HIPAA-compliant manner for at least ten (10) years, as required by CMS for Medicare-related interactions
- Client policy records are retained per the requirements of the Wisconsin Office of the Commissioner of Insurance and our affiliated organizations
- General website inquiry information is retained as long as needed to respond to your inquiry and maintain a record of our communications
9. Your Rights and Choices
You have the right to access information we hold about you, correct information that is inaccurate or out of date, request deletion of information (subject to our legal and regulatory recordkeeping obligations), opt out of marketing emails by clicking the unsubscribe link in any marketing email we send, opt out of text messages by replying STOP, and withdraw consent for processing where we rely on your consent.
To exercise these rights, contact us using the information in Section 14. We will respond within a reasonable time, typically within 30 days.
10. Children's Privacy
Our Site and services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
11. Third-Party Links
Our Site may contain links to third-party websites, such as carrier sites, government resources (Medicare.gov, Social Security Administration), or partner sites. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before providing information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this Policy. Material changes will be communicated through a notice on our Site or, where appropriate, by email.
13. Governing Law
This Privacy Policy is governed by the laws of the State of Wisconsin, without regard to its conflict-of-law principles.
